Grace Federal Solutions, LLC is seeking a highly organized and detail-oriented Transit Maintenance Coordinator to support the Transit Maintenance Program. In this role, you will provide administrative, operational, and coordination support to ensure the transit fleet remains safe, reliable, and ready for service.
Working closely with the Maintenance Supervisor, you will serve as the central point of coordination for maintenance records, work orders, fleet status updates, vendor communications, and maintenance documentation. This position plays a critical role in supporting efficient fleet operations and maintaining compliance with organizational and environmental standards.
What You’ll Do
- Maintain accurate daily fleet status records, including vehicles that are out of service, under repair, awaiting inspection, involved in accidents, or cleared for service.
- Create, update, and monitor maintenance work orders within the maintenance management system.
- Coordinate with outside repair vendors regarding repairs, parts availability, repair timelines, invoices, and vehicle pickups and returns.
- Assist with vehicle transportation to and from repair facilities and communicate vehicle readiness to Transit Operations.
- Provide regular fleet status updates to Transit Operations to support service planning and scheduling.
- Receive, track, and organize maintenance parts, supplies, and materials, ensuring timely communication of inventory and outstanding orders.
- Assist in identifying and sourcing replacement parts by researching part numbers, vendor information, and product specifications.
- Track maintenance expenses, update financial tracking spreadsheets, and assist with invoice processing and documentation.
- Support environmental and safety compliance by monitoring inventory of spill response and environmental supplies and assisting with required documentation.
- Assist with accident documentation by tracking vehicles involved in incidents and coordinating required maintenance records.
- Maintain organized maintenance files, reports, and documentation to ensure accurate recordkeeping and regulatory compliance.
- Collaborate with maintenance technicians, supervisors, vendors, and Transit Operations to promote safe, efficient, and reliable fleet performance.
- Perform other administrative and operational duties as assigned.
Schedule Details
- Primary schedule: Night shift (7:30 AM – 4:00 PM)
- Must be flexible
Qualifications
- High school diploma or equivalent required; associate degree or related training preferred.
- Previous experience in fleet maintenance administration, transportation, logistics, automotive service, or a related field preferred.
- Strong organizational, time management, and multitasking skills.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office Suite, including Excel, Word, and Outlook.
- Experience with computerized maintenance management systems (CMMS) is preferred.
- Ability to work independently while effectively collaborating with multiple departments and external vendors.
- Strong attention to detail and commitment to maintaining accurate records.
- Valid driver's license with a clean driving record preferred.
