Staff Specialist

Financial coordination (25%)

  • Handle approximately $45,000 annual department procurement purchases and clearing of charges
  • Process quarterly billing for Statistical Consulting services producing revenue of approximately $50,000 per year
  • Organize conference/meeting travel and related expenses for staff

Departmental documentation and coordination (35%)

  • Coordinate monthly time tracking by staff in the department and follow up with those that are not compliant in a timely manner
  • Train new staff how to track their time electronically; represent the group on committee of such trainers
  • Organize distribute and maintenance of Standard Operating Procedures within the department
  • Distribute trial documentation binders
  • Maintain departmental organizational chart
  • Maintain and organize group intranet website
  • Coordinate process of archiving documentation to an off-site location
  • Serve as primary group resource for use of Webex
  • Arrange interviews for job candidates, including coordinating the schedules of multiple interviewers and travel from out of state
  • Coordinate hiring of new employees into the group
  • Schedule biweekly staff meetings, including technical/IT aspects such as webcasts 
  • Process Duke Databank analysis requests through the approval process by an Executive Committee
  • Set up time tracking codes for analysis projects for departmental invoicing purposes
  • Serve as key operational contact for 2-3 employees working off-site

Staff support, work prioritization and distribution (20%)

  • Support Director and Assistant Directors
  • Provide support for 90+ staff statisticians, statistical programmers and Business operations staff, with duties shared with one other Staff Specialist
  • Provide support to staff for copying, mailings, scheduling of meetings, conference calls, conference room reservations
  • Process conference/meeting travel and related expenses for staff
  • Encourage and facilitate cooperation and tolerance within highly diverse group
  • Aid supervisor in identifying and monitoring problem issues within the department
  • Cross-train with other Staff Specialist so that each can cover the key responsibilities for each other on a short-term basis or in times of critical need

Required Qualifications at this Level

Education/Training:

Work requires knowledge of basic mathematical, research and communications principles normally acquired through two years of post-secondary education.

Experience:

Work generally requires two years of clerical or research experience to acquire skills in administrative or project research responsibilities as well as accepted office organization, communications and research practices.

A bachelor's degree in a field of study directly related to the specific position may be substituted for the education and experience requirement.
