Staff Assistant

Work Performed
Provide Administrative support for the Vice Chair for Research relating to:

  • Schedule complex meetings and manage daily calendar.
  • Process online travel and miscellaneous expenses.
  • Schedule travel.
  • Process corporate card expenses.
  • Provide backup support as needed.
  • Answer phones and serve as receptionist when needed.
  • Serve as liaison to intra/inter-departmental personnel.
  • Order and maintain general office supplies, copy machine supplies, copier/Office Products.
  • Building maintenance/service via E&O online system housekeeping service calls.
  • Other Duties as Assigned
  • Outlook, Excel, and PowerPoint experience important.
  • Coordinate and plan multiple Research Retreats on annual basis and other related programs/events within the Department. This will include developing new ideas and concepts for program themes, materials and resources to supplement, expand or replace existing program components. Independently generate complex and detailed presentations and reports.
  • Assist with the Departmental T32 grant application processes. This includes drafting letters, assembling application packets and collaborating with faculty to insure timely submittal. This also includes maintaining databases that track former T32 recipients in the Department.
  • This position will work directly with the Departments Grants Hub and Vice Chair of Research to insure that all training grants are submitted in a timely manner.

Required Qualifications at this Level


Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.


Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.
