HIM - Hospital Inpatient Coding Manager


The manager is responsible for managing, coordinating, and performing day to day operations and workflow of the HIM operational unit to meet the standards set by a teaching hospital and regulatory requirements.

This individual is responsible for supervising and evaluating staff, and in collaboration with the Sr. Manager, is responsible for hiring, disciplining, and terminating staff as appropriate
Provides leadership and technical expertise to employees in area of responsibility
Sets and monitors productivity and quality standards
Provides for orientation, training, regular evaluations and continuing education opportunities of employees within are of responsibility
Assists Sr Manager and Director with periodic review and revision of departmental  policies and procedures
Assists in the coordination of and planning for regulatory survey processes such as Joint Commission, Office of Inspector General, as well as other State and Federal agencies
Serves as the liaison between staff and Sr. Manager, and participates in committees and teams as a representative of the HIM Department.


  • Plans daily workflow and work assignments within work unit
  • Reviews work queues daily to identify priorities for the day including identification and resolution of problems with achieving targets; adjusts work assignments of staff as needed

  • In conjunction with the Sr. Manager, recruits, selects, orients and trains new staff
  • Monitors staff achievement of productivity and quality expectations associated with work unit tasks
  • Recommends corrective action as needed to address variances from performance standards, including adherence to organizational policies
  • Conducts monthly rounding with staff to facilitate a positive work culture that encourages 360 degree communication and timely and effective problem solving
  • Recommends performance standards for staff, and in collaboration with the Sr. Manager, completes Annual Performance Reviews
  • Conducts Overall Effectiveness Ratings (OER) reviews monthly and reviews results with staff, identifying appropriate action plans as needed
  • Ensures that work unit is appropriately staffed with qualified individuals who are sufficiently trained to meet departmental and organizational expectations
  • Approves time off; maintains employee timekeeping; maintains personnel files
  • Serves as the technical expert for staff questions, problems, and difficult customer situations
  • Daily interactions with customers within the HIM Department, within entities served, other departments, medical staff, and other customers
  • Release of Information – patients, families, providers, attorneys, insurance companies, vendors, and others
  • Document Management – clinic and nursing unit staff performing scanning, forms sponsors, and others
  • Data Integrity – areas creating medical record numbers, providers (including physicians, their office staff, advanced practice professionals, house staff) and others
  • Collaborates with DHTS to problem solve system issues, including logging issues in Service Now; performing testing; identifying reporting needs and educating others when system changes are implemented
  • Release of Information – maintenance, testing and education relative to print groups contributing to the Legal Health Record; participates in the creation of new document types
  • Document Management – maintenance, testing and education relative to new document types and forms
  • Data Integrity – maintenance, testing and education relative to deficiencies, duplicate medical record number correction and contact moves
  • Participates in the creation and execution of educational initiatives associated with HIM strategies, including but not limited to:
  • Release of Information – use of Quick Release; use of Med Link
  • Document Management – decentralized scanning, including scanner maintenance
  • Data Integrity – record completion, correct medical record number creation
  • Effectively communicates verbally and in written form, including provision of updates to Sr. Manager and Director regarding operation of work unit, project status, and staff issues
  • Performs other related duties incidental to the work described herein and performs other related work as required

Education and Experience:

  • BS in Health Information Management OR
  • Master’s Degree in Business or Health Administration (preferred)
  • Four (4) years of experience including 2 years in management or consulting in HIM
  • Previous supervisory responsibility for the functional area to be managed is required
  • Previous Epic experience preferred
  • Degrees, Licensures, Certifications
  • RHIA required (Registered Health Information Administrator)

  • NCDs, LCDs, CCI, Modifiers
  • Prospective payment systems-hospital/technical and professional services reimbursement methodologies (DRGs, APCs, RBRVUs)
  • Principles and practices of function to be managed
  • Medical terminology
  • Federal, state and local regulations governing Health Information Management
