Team Coordinator

Job Description:

A team coordinator is needed to provide administrative support to the team.
 
Duties may include:

  • Manage the staff schedules including setting up teleconferences (with participants spread all around the world) and coordinating with individuals (both internal and external) to schedule meetings
  • Provide administrative and logistical support (i.e., aiding with communications and marketing where applicable)
  • Provide administrative and logistical support for the SEAD office in Nairobi, Kenya
  • Organize travel for team including flight/hotel coordination as well as visa applications where applicable
  • Provide basic financial support for team and activities including clearing corporate credit card charges, processing reimbursement reports and paying invoices,
  • Provide administrative support for meetings including invitations, arrangements, taking minutes, and organizing logistics where necessary (both on and off-site)
  • Provide office management support for the team including ordering office supplies, liaising with building maintenance and IT support, and managing a variety of other general office logistics
  • Provide support, where necessary, for management and coordination of large conferences
  • Role will be fairly process heavy but essentially involve project managing large events and ensuring all details are covered
  • Ensure CRM database is regularly updated with appropriate stakeholders and new contacts received through online sources
  • Provide additional ad-hoc administrative/coordination support
  • Perform other related duties incidental to the work described herein.

Required Qualifications at this Level

Education/Training:

Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.

Experience:

Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.
