Job Description:

Must have SAP experience

  • Processes orders for the acquisition of merchandise, supplies, parts, equipment and services in a timely fashion following departmental processes.
  • Update all order status changes in CE Ordering database as they occur.
  • Carry out a variety of clerical duties to ensure that merchandise, supplies, and equipment are shipped on schedule by vendors and received by CE.
  • Check packing slip against order and distribute parts to technician/manager.
  • Attach supporting documents in ordering system ex. Packing slip, hardcopy PO, vendor emails, etc).
  • Sorts and handles packages to determine order origin, contents, return authorization, return verification and credit verification.
  • Inspect all invoices and receiving reports to determine if quantity ordered matches quantity received; review prices, f.o.b. points and payment terms to ensure agreement with purchase order and dispose of discrepancies.
  • Maintain interface with vendors to ensure the procurement of high quality merchandise, expedient delivery, and dependable service at optimum price, resolve problems involving deliveries or invoices and communicate findings to technician and/or management.
  • Ensure timely processing of receipts for all P-Card orders.
  • Assist in negotiating non-complex contractual arrangements between organization and selected vendors committing organizational funds up to authorized limits; place orders.
  • Assist in analysis of markets to determine vendor sources and product availability; keep abreast of market fluctuations affecting prices; inform technician and management of new product development.
  • Manage adequate level of stocked supplies and parts
  • Prepare and process various forms involving change orders, exception reports, bid requests, and other buying procedures; price requisitions as required.
  • Accomplishes purchasing and organization mission by completing related results as needed

Required Qualifications at this Level


Work requires a broad knowledge of clerical and accounting principles and practices normally acquired through two years of post-secondary education in secretarial science or a related business field.


Work generally requires four years of related secretarial/clerical experience to acquire skills necessary to administer complex office functions related to office management, communications, and budgetary/accounting activities.
