Project Coordinator

Summary:

Coordinate and participate in the planning and management of data collection and maintenance systems to assist project and/or program directors in project related activities. Utilize a combination of Excel, SAS, Tableau, DADD, and other specific tools to update and maintain departmental data records and reports. Follow detailed directions, but also work independently to determine when to bring in departmental leadership to address questions or discrepancies. Disseminate information from staff and facilitate entry into database in appropriate fields.

Duties:

 

  • Plan, implement and coordinate systems designed to monitor the collection, storing, cleaning and dissemination of data related to specific projects as required to assist programs and/or projects director.
  • Maintain liaison with project participants, including researchers, project personnel, participating subjects as well as other interested parties to establish a communication system to coordinate the various aspects of the project; respond to inquiries about the project according to established policies and procedures. Maintain liaison with faculty members, practicing professionals and representatives of related projects to coordinate the collection and dissemination of related data.
  • Prepare reports and analyses setting forth progress, adverse trends and appropriate recommendations and/or conclusions as requested.
  • Review and evaluate data monitoring and handling systems to determine consistency of data collected from various sources; recommend changes and modification to systems as required to ensure timeliness, accuracy and efficiency.
  • Recommend various personnel actions including, but not limited to, hiring, promotions, performance appraisals, transfers and scheduling time off.
  • Daily refreshing of automated reports  
  • Working with others using detailed process instructions to complete bulk data upload requests 
  • Processing emailed requests each week (both individual and bulk)
  • Deleting information from database when requested
  • Comparing and matching information between records in database
  • Updating user permissions for training and reports 
  • Monitoring and handling enquiries/simple requests sent to shared email address. 
  • Manipulating, copying, and data entry in spreadsheets
  • Preparing agendas and meeting materials 
  • Perform other related duties incidental to the work described herein. 

Education and Experience:

  • Bachelors Degree (or 4+ yrs post-secondary edu.) is required to obtain the communication and analytical skills necessary.
  • Advanced skill and experience using all standard MS Office programs (Word, Excel, PowerPoint) 
  • Ability to follow complex instructions (error free) using databases and CRM systems is required.
  • Must possess a high degree of skill and tact communicating complex results or outcomes via email and phone 
  • Ability to use pre-existing SAS, Tableau programs and macros/scripts  to accomplish weekly work processes.
  • Ability to act independently and escalate issues as necessary 
  • Highly attuned customer service skills (mainly via email and phone)
  • Ability to use, edit, and manipulate data in spreadsheets 
  • Ability to work collaboratively as part of a team is preferred
